Twelve things to get right when you set up GoHighLevel, in the order that matters — from lead capture through to the reporting nobody usually builds.
GoHighLevel does a great deal, which is exactly why most accounts we audit are half-built. Someone imported a snapshot, switched on a few automations, and moved on. Here is the order we work in and why.
Before you automate anything
1. Map the process you actually have. Sit with whoever handles enquiries and write down every step, including the informal ones. Automating a broken process just makes it break faster.
2. Define your pipeline stages honestly. Most businesses need four to six. If a stage does not change what anyone does next, delete it.
3. Agree what a lead is. If sales and marketing disagree on this, no amount of CRM configuration will fix the reporting later.
Capture
4. Every enquiry route goes into GoHighLevel. Web forms, phone, WhatsApp, Facebook, and the info@ inbox. Any channel left outside the CRM becomes the one that leaks.
5. Turn on missed-call text-back. This is the highest-return single feature in the platform. An unanswered call gets an automatic SMS within sixty seconds, and a meaningful share of otherwise-lost enquiries come back.
6. Set up call tracking numbers per source. You cannot report on attribution you never captured.
Follow-up
7. Build the speed-to-lead automation first. Response within five minutes rather than an hour transforms conversion. Automate the acknowledgement even if a human does the real reply.
8. Write nurture sequences that are actually useful. Five emails of genuine help beats fifteen of "just checking in". Set a clear exit condition so people stop receiving them the moment they book.
9. Add an AI qualifier only after the basics work. An AI agent asking three scoping questions and offering calendar slots is excellent — on top of a working pipeline, not instead of one.
After the sale
10. Automate review requests. Trigger on job completion, not invoice payment, and give it a short delay. This is the cheapest marketing available to most local businesses and almost nobody does it consistently.
11. Build a reactivation campaign. Your dormant customer list is the highest-converting audience you own and it costs nothing to contact.
The bit everyone skips
12. Build the reporting before you need it. Decide the five numbers you will run the business on — leads by source, cost per lead, speed to first response, conversion by stage, revenue by channel — and make sure the pipeline captures what those calculations need.
Retrofitting reporting onto six months of inconsistent data is painful and often impossible. Ten minutes of thought at setup saves a fortnight later.
Two failure modes to avoid
Snapshot dependence. Imported snapshots are a starting point, not a configuration. If nobody on your team can explain why an automation fires, you do not own your CRM — you are renting someone else's assumptions.
Automating the wrong thing. The goal is not the largest number of workflows. It is the smallest number that removes the most manual work. We regularly delete more automations than we build during an audit.
